Donations: Manage Exports

Getting Started

Salsa allows you to create exports of your donor list by donation type, or your entire donor list.  To make an export, first log into Salsa and find the Donations section along the left-hand side (1):

Once you've clicked on Donations, you'll be taken to the Manage Exports page.  By default, you'll be on the Donations tab.  Click the Manage Exports tab (2), and you'll be taken to the Exports section.  You'll see that you have some options available to you.  Once you've built up a few exports, you'll notice that you have a search field that will allow you to quickly find the particular export by name.  You can navigate through the pages of exports quickly, once you have multiple pages worth of exports to browse.  Since this is probably your first export, click the + Create an Export (3).

This will take you to the Create Export page.  Under Setup, the first fields you'll fill out when creating your export are the Name and Description fields as seen here:

Note that the Name field is required, but the Description is optional.  Both fields are for staff only; no donor will see these designations.  Once you're finished, select either Save or Next: Export Rules in the lower right-hand corner.  The latter will take you to the Export Criteria page:

Next, you'll be on the Export Criteria page.  Here, you'll notice that you have a few different options available to you in terms of what specific donation information you wish to export.

Your first option is to chose the transaction date range of your donations. There are preset timeframes that you can select. They're 30 days, 90 days, one year, and all time.

With any of these, you can change the parameters, but if you're wanting to set up your own date range, it's best to use the "ALL" button. It gives you a clean slate by not pre-selecting any dates. Here's how your chose your custom dates:

1. Select the date where you'd like your donation information to start by clicking the back arrow on the left-most calendar. Notice that both the left and right calendars move. This won't affect your selection process. Once you see the month and year you'd like as your starting point, select the date.

2. Now, on the right-hand calendar, click the right arrow to move to the desired month and year combination. Again, both the left and right calendars will move. Once you're there, click the date you'd like to use as the terminal date of your export. Notice that the entire date range is now highlighted. You can again click the back arrow on the left-hand calendar to go back to your initial date choice.

You're then given the option to select the type of donation you'd like to export. Your choices are donations that were one-time only, recurring donations only, or "All Donations", which is both donation types combined. The export defaults to "All Donations".

Just like the Supporters export, you can chose to have your donation export be immediate, or you can chose to schedule the export for a later time:

Once you've made your selections, you can either click the cogwheel icon in the lower left-hand corner and delete your export,

or you can select from the following choices in the lower right-hand corner:

Click Save to save your progress and stay on the current screen. Click Back:Setup to go back to the Setup page, or click the Run Export Now! button to move forward. Note that selecting the Run Export Now! button will also save your progress.

Export Results

The third section of your export-making process is labeled Export Results. This is where you'll see the list of available exports, their date, the record size, and whether they're scheduled or available for immediate downloading.

You'll notice that the icon for Export Actions changes depending on whether you've scheduled an export, or selected the export to be available immediately:

Natively, Salsa exports a Comma Separated Value file, or .csv. Once you've opened it in Excel or the spreadsheet program of your choice, you can then convert the file to another format if you choose. See your spreadsheet program's instructions on how to get your file saved or exported in the format of your choice.
